Sun Protection for Events

Hosting an outdoor event? We can help with our ShadeLoan Scheme, which provides access to SunSmart resources including umbrellas, marquees, and sunscreen stands. It’s a simple way to help protect your community from harmful UV exposure.

ShadeLoan equipment is available from October to March for local community-based, not-for-profit groups, schools, and organisations across the Nelson Tasman region.

Changes to Our Shade Loan Hire

To help cover the increasing costs of maintaining and servicing our Shade Loan equipment, a $100 service fee (non-refundable) plus a $100 refundable bond will apply to all Marquee and Umbrella hires from 1 April 2026.

Marquee and Umbrella Hire

The $100 service fee and $100 bond:

  • Are both payable at the time of pick-up
  • The $100 Service Fee is non-refundable
  • The $100 Bond is refundable (once equipment has been returned and checked)

Additional charges may apply for any damage, loss, cleaning, or drying required upon return.

Sunscreen Station Hire

If you are hiring Sunscreen Station/s only, a $100 bond is required.

  • The bond will be refunded once the stations are returned in the same condition as prior to hire.
  • Sunscreen bottles must remain inside the stations and must not be removed before return.

Additional charges may apply for any damage or loss.

Conditions of Hire

  • Cancer Society Nelson Tasman provides shadeloan for local community not for profit groups for local community events. If you are selling tickets to an event you can still use our shadeloan but there will be a charge to do so. Please contact us for more information.
  • Keep flame and heat sources away from the marquee to prevent damage.
  • Absolutely no cooking and/or barbecuing under our marquees – our marquees are for shade use only.
  • Our marquees can not be used for selling merchandise.
  • Cancer Society Nelson Tasman will not take any responsibility for any personal injury or damage to property; this must be covered by the borrower’s public liability insurance.
  • From 1st April 2026: a $100 service fee (non-refundable) PLUS a $100 bond (refundable – once equipment has been returned and checked).
  • No refund will be given if the equipment is damaged, lost or requires cleaning or drying and additional costs will be applicable.
  • The borrower must pay for any damage to the shade structure(s).
  • If the shade structure(s) is stolen the borrower will be charged the replacement costs.
  • Marquees must be dry before return.
  • If the shade structure(s) are returned and require cleaning, all costs incurred will be charged to the borrower.
  • Shade Structures and equipment must be returned by the agreed date and time, failure to do this will result in your deposit being forfeited.

Big Marquee (Double Peak Star Marquee)

Cost: $250 hire/service fee (non-refundable for this marquee only).
PLUS a $100 bond applies (refundable – once equipment has been returned and checked).

To be used on grass only. Our Double Peak Star Marquee (sides available on request) is 13.65m(L) x8.65m(W) x5m(H) and is available to hire for community events. Minimum FOUR adults are required to set up a double-peak star marquee. Please use a large vehicle for transporting this marquee. Shade Loan Changes - Quick Look (from 1 April 2026)

  • $100 non-refundable service fee applies to all Marquee and Umbrella hires
  • PLUS a $100 bond applies (refundable – once equipment has been returned and checked).
  • Both the Service fee and Bond are payable at pick-up
  • Additional charges may apply for damage, loss, cleaning or drying

Sunscreen Station Hire (only):

  • $100 refundable bond required
  • Bond refunded if stations are returned in the same condition as hired
  • Sunscreen bottles must remain inside the stations and not be removed prior to return
  • Additional charges may apply for damage or loss

We expect you to

  1. Raise the profile of our Cancer Society branded sunscreen.
  2. Ensure that the sunscreen is applied correctly as recommended by the Cancer Society.
  3. Ensure that event organisers wear appropriate SunSmart clothing including a hat and sunglasses during an outdoor event.
  4. Promote SunSmart, Smokefree, Nutrition, Physical Activity cancer awareness messages. (Posters and/or information can be provided if requested)
  5. Smokefree events are to be totally smokefree/vape free for the entire event. This includes the venue and the immediate grounds.
  6. Acknowledge the Cancer Society’s assistance at your event – eg with regular SunSmart announcements.
  7. If the event is to be advertised, reference should be made to SunSmart, including the logo.
  8. The organisers should role model SunSmart behaviour.
